General conditions

The Global Online Activist Academy 2023 is a training opportunity provided by IGLYO — The International LGBTQI Youth and Student Organisation. It takes places over a period of 2 weeks, which includes a number of online live sessions and individual working time that the participants must go through. The Activist Academy is funded by the Dutch Ministry of Education Culture & Science and the Citizens, Equality, Rights and Values (CERV) 2021-2027 programme of the European Union.

By agreeing to participate in the Academy and qualify for the awards, all participants will abide by the Activist Academy and IGLYO regulations, in addition to complying with their national laws that may be relevant to their participation, such as, for example but not limited to: gathering in groups in public or private spaces, video/audio recording in public spaces, creating and visualising content that addresses LGBTQI issues, etc. 

The Activist Academy is based on a simple format: participants sign up for the Academy in teams of maximum 3 people. Participation is also open to individuals who are not part of teams, but they must be aware that they will have to fulfil all the Academy tasks (challenges) by themselves. Participants who are not part of teams are free to form teams with other participants in a similar situation. 

Participants attend 3-4 online skills-based workshops delivered by experts. Then, teams receive 2 tasks (challenges) to work on and deliver within a specific timeframe. A panel of judges will review the challenge products and provide feedback to participants who will have additional time to revise and improve the products based on the feedback. The participants will upload their final challenge products on the Academy website and will be able to view and vote for their favourites. During the Ceremony live session, the Academy Trophies will be awarded to the 3 teams whose products ranked the highest, based on participants’ voting and on judges’ vote, as well. 

The Activist Academy offers one type of award to participants in the training. Please read below all the terms and rules that apply to participation and the awards. 

The Activist Academy debuts on 23 March 2023, with a live introductory session, and concludes on 9 April 2023, with the Award and Graduation Ceremony. For a more detailed schedule of Academy dates and times, please regularly consult activist-academy.org.

 

Who is eligible to participate

The Academy is open to individuals who will submit a complete application form (as announced on IGLYO’s social media channels and on www.activist-academy.org) and who cumulatively meet the following criteria:

  • identify with or advocate for LGBTQI and are involved in LGBTQI activism
  • are between 18 and 30 years old, at the date of registration
  • are able to use English at intermediary-advanced level
  • are able to participate in the live sessions taking place in European time-zones
  • are able to use a computer, have a good internet connection and access to basic video/audio recording equipment (at a minimum a smartphone)

In addition, to be able to qualify for the rewards, participants must:

  • attend all mandatory live sessions and contribute to the production of 2 challenges

All registrations will be reviewed by a selection committee assigned exclusively by IGLYO. The committee will select the final group of Academy participants. 

 

Mandatory attendance

In order to qualify for winning the the Academy Trophies, all selected participants must attend all of the mandatory live sessions, as announced in the detailed programme that will be posted on the event.

In addition, all participants must contribute to the production of the challenges. 

The beginning of the introductory session on 23 March and the end of the Award Ceremony on 9 April mark the beginning and the end of the participation in the Academy and of the period of time within which people can qualify for the Academy Trophies.

 

How will the trophy be awarded

The IGLYO Academy Coordinator will track the participation of all selected participants at the mandatory live events. The events will take place on Zoom and participants will be able to participate by registering with their recorded email address. 

At the beginning and the end of each live session, a screenshot will be taken of all the participants and the participant list, for reporting purposes. Participants will be notified before, so they can opt to switch their cameras off. 

The Academy Trophies will be awarded to the three participant teams that score the highest number of total points. The points are awarded by every participant in a gallery where all the challenge products will be uploaded. Each participant will have a maximum number of points to allot to the other teams’ products. Participants cannot vote for their own teams. IGLYO’s panel of judges will also award points. The panel of judges will have a certain number of points to allot to each product. The total score will be calculated by IGLYO before the Award Ceremony, when the winning team will be announced. IGLYO’s decision on the winning team is final and there will be no appeal process. 

For the Academy Trophy:

  • the set value of each of the 3 Academy Trophies will be Euro 500. 
  • the Trophy will be awarded to the 3 teams which score the highest number of points as a result of participants’ and judges’ votes. 
  • each participant who meets the requirements to qualify for their share of the Trophy, as a member of the top 3 teams, can receive no less than Euro 166 (but can receive more, if they are a member of a smaller team) through a bank transfer or can select an online service, or an online store with gift coupons and make it known to IGLYO. IGLYO can purchase the respective online subscription or the gift coupon in the maximum total value of Euro 166 and will deliver it to the participant. The payment of the reward or the transfer of the gift coupon will take place within a maximum number of 30 calendar days from the Award Ceremony (the official end of the Activist Academy event). 
  • the total value of Euro 500 will be split equally between each of the winning team members (from 1 to 3 people). 
  • IGLYO will not be liable in any way for how the participant chooses to spend the reward. Any consequent issues related to the products or services purchased with the reward gift coupon will be addressed by the participant, and not by IGLYO. 

 

Additional expenses

In case the value of the Trophy needs to be transferred in the form of coupons/vouchers (see above), these cannot be changed for cash until they are in the possession of the participant and IGLYO is in the possession of the invoice/fiscal document that records the purchase of the product/services/gift vouchers by IGLYO.

IGLYO is not responsible for any loss incurred by the participants as a result of currency exchange fluctuation, commissions charged by the vendors, possible shipping costs for the vouchers, or any other such additional expenses. The total amount of the trophy must cover all additional expenses incurred by giving and receiving of the trophy. However, in exceptional circumstances, participants can approach IGLYO for discussion of the terms in this paragraph on a case-by-base basis. 

 

Criteria for judging

The panel of judges will award points to the challenges products. The judges will decide how to award the points, according to some criteria, such as but not limited to: 

  • the teams have shown that they used and incorporated learnings from the expert workshops into their products
  • the teams have shown the ability and willingness to take into consideration the feedback from the judges
  • the teams have demonstrated creativity and original work.

 

Additional limitations

IGLYO reserves the right to adjust or shut down the contest at any time, and IGLYO especially has the right to investigate possible cheating or tampering before it determines a winner. If suspicion of cheating is confirmed with reasonable evidence, IGLYO can decide if another team will win the Trophy. 

 

Use of personal information

IGLYO will collect limited personal information from the participants for the exclusive purpose of giving out the Academy Trophies to the participants. This information might include: full ID names, physical address, email address, phone number, bank account information. This information will only be used so that participants can gain possession of the trophy. IGLYO will not use this information for any publicity or promotion or further contact with the participants. However, these provisions do not impact how IGLYO can use the registered participants’ information in promotions and social media campaigns, as regulated by the separate Model Release agreement between IGLYO and the participant.

IGLYO aisbl (“us”, “we”, or “our”) operates activist-academy.org (hereinafter referred to as “Service”).

Our Privacy Policy governs your visit to activist-academy.org, and explains how we collect, safeguard and disclose information that results from your use of our Service.

We use your data to provide and improve Service. By using Service, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined in this Privacy Policy, the terms used in this Privacy Policy have the same meanings as in our Terms and Conditions.

Your information, including Personal Data, may be transferred to – and maintained on – computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.

If you are located outside Belgium and choose to provide information to us, please note that we transfer the data, including Personal Data, to Belgium and process it there.

Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.

IGLYO aisbl will take all the steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to another organisation.

Disclosure of Data

We may disclose personal information that we collect, or you provide:

Your Data Protection Rights Under General Data Protection Regulation (GDPR) 

If you are a resident of the European Union (EU) and European Economic Area (EEA), you have certain data protection rights, covered by GDPR.

We aim to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal Data.

Please note that we may ask you to verify your identity before responding to such requests. Please note, we may not able to provide Service without some necessary data.

Our Policy on “Do Not Track” Signals:
